How to follow up on every unanswered Instagram DM (and stop losing leads)

Most tattoo leads die in the gap between “they messaged” and “you replied”. Here’s the free Meta automation that flags every waiting client — and the system that closes the gap for good.

A lead messages you mid-session. You catch it three hours later, reply, and they’ve already booked the artist who answered first. It’s not that you don’t care — you were tattooing. But the inbox doesn’t remember who’s still waiting, so people quietly fall through.

Meta has a free automation that fixes the “I forgot to get back to them” problem. It watches for messages you haven’t answered and flags them for follow-up, so the waiting leads are impossible to miss.

What you’re building

One automation: if a message sits unanswered past a time you set, Meta marks it for follow-up. Here’s the screen you’ll set up in Meta Business Suite.

Set it up in 6 steps

01

Open Automations in Meta Business Suite

On desktop, go to business.facebook.com, open Inbox, then Automations. On mobile, use the Meta Business Suite app, then Inbox. This is where Instagram and Messenger automations live.

02

Turn on 'Identify unanswered messages'

Switch on the automation that flags messages with no reply (Identificar mensajes sin responder). It watches your inbox so you don't have to.

03

Enable it on both Instagram and Messenger

Under Channel, tick both. A lead waiting on Messenger is just as lost as one waiting on Instagram.

04

Set the time window

Choose how long a message can sit unanswered before it's flagged. Six hours is a sensible default; if you reply same-day, drop it to one or two hours so you catch people while they're still deciding.

05

Pick the action — mark for follow-up

Select 'Mark for follow-up' so flagged chats surface in one place. You can also have it mark the message unread or add a label — whatever makes the waiting leads impossible to miss.

06

Save and build the habit

Hit Save changes. Now once a day, clear your follow-up flags the way you'd clear a tip jar — every one is money waiting to be made.

Follow-up messages that actually re-open the chat

When you clear a flag, don’t just ask “still interested?”. Acknowledge the wait and hand them the fast path.

The honest limit of flagging

A flag is a reminder, not a fix. You’re still the one doing the chasing — and the busier you get, the more flags pile up. It buys you time; it doesn’t buy you back the hours.

The durable fix is to stop generating cold DMs in the first place. When your first reply sends people to a link that qualifies them automatically, most leads arrive already organised — idea, size, placement, style, references — and the few that need a nudge live in a proper pipeline, not a buried chat. The follow-up stops depending on your memory.

6 mistakes that quietly kill it

  1. Setting the window too long — at 24 hours the lead has already booked elsewhere. Catch them in the first few hours.
  2. Treating the flag as 'done' — it's a reminder to act, not the action itself.
  3. Following up with just 'still interested?' and no link — give them the fast path, not another question.
  4. Chasing five times — one warm nudge back to the link beats a string of guilt-trips.
  5. Flagging on only one channel — enable both so nothing hides on Messenger.
  6. Relying on memory once volume climbs — that's exactly what the automation, and a real pipeline, are for.

FAQ

Does this message the client automatically?

No. Meta's automation flags the chat for you — it marks it for follow-up, marks it unread, or adds a label. You (or your front desk) still send the actual follow-up. It's a reminder system, not an auto-responder.

What's the best time window?

If you reply within the day, six hours works well. Busy studios that answer fast often set one or two hours so leads get a nudge while they're still in buying mode.

Can my whole team see the flagged messages?

Yes. In a shared Meta Business Suite inbox, anyone with access sees the follow-up flags — so whoever is free can pick them up.

Isn't there a way to skip the chasing altogether?

Mostly, yes — and that's the point of the next section. If the first reply already sends people to a link that qualifies them, there are far fewer cold DMs left to chase.
